P&G Management is the approved and only reservation agent working on behalf of the Museums Association,  providing preferential rates for hotel accommodation bookings for attendees of the Conference 2023: The Power of Museums at Sage Gateshead.

Please carefully read the following instructions on how to book/ reserve your room(s). Terms and conditions can be found on the additional tab.

Please note that the rates are only guaranteed up to 6 weeks prior to the event date and are all subject to availability. Thereafter all rooms and rates are subject to hotel availability.

Allocation Accommodation Terms & Conditions

Please note that by continuing your booking you are agreeing to provide true and correct information as the booker and/or as the guest or on behalf of the guest.

All information provided by P&G Management Limited is provided and agreed on behalf of Museums for delegates attending the named conference.

Please also be advised that all rates are negotiated and held on an allocation basis. Once the allocation is taken in full; an alternative hotel will be offered based on availability where and if available. However please be advised all rates outside of the allocation terms agreed with the individual hotels are subject to the hotels discretion and in some instances where the negotiated rate is no longer agreed the best available rate will be offered.

The allocations and negotiated rates held per hotel vary and are usually between 4-8 weeks prior to the event date. Outside of this period any unsold rooms are released for general sale back to the hotel.

The cancellation policy for individual reservations is subject to each hotels terms, and the cancellation terms are advised on the Hotel Booking page against the individual hotel. Should you require any further information please feel free to contact P&G Management Limited.

In the event of a Non Arrival, Early Departure or Late Cancellation it is at the hotels discretion to charge for the entire stay or partial stay. For further information please contact P&G Management Limited.

Valid Credit/Debit Card details must be provided to guarantee your/the accommodation.
The card is only used to guarantee your accommodation and unless you have requested to pay in advance the card will not be charged unless in the event of a Non Arrival, Early Departure or Late Cancellation. If you have not selected to pay in advance and have provided a card to guarantee you will be asked upon arrival for a pre authorisation or payment upfront.

All guests are responsible for settling their accounts in full; P&G Management Limited is not liable for payment for accommodation or any extras unless agreed in advance in writing.

If you select to pay in advance please note that all hotels are now changing the process used for this payment method. Please note you will receive details of how to pay in advance for your chosen hotel, with your hotel confirmation.

Any changes to the bookings should be done in writing to P&G Management Limited and acknowledgement will be confirmed in writing.
